Accessible Formats

What are they?

Alternative Formats logoAccessible formats, also known as alternative formats, is the term given to documents and information which have been prepared for use by people who may not use conventionally formatted materials such as print. For example, a letter which has been transcribed into braille, a newsletter produced in audio, or an annual report in large print would all be described as accessible formats.

People might ask for information in an accessible format. A service provider might say they have information in a range of accessible formats. The actual format such as audio, large print or braille is the specific type of accessible formats.

What types of accessible format are there?

Accessible formats are varied and tailored to the individual using them. Common accessible formats include audio recorded on to CD, large print, braille, and accessible PDF.

Who uses accessible formats?

As we have said accessible formats is the blanket term for materials produced in an alternative way to make them accessible for people. Often accessible formats are directly associated with disabled people but this isn't always the case. Alternative formats can be helpful to a large number of people such of those with poor sight where large print might be helpful, those who may not read so well who could find easy read helpful, and those whose first language may not be English and an audio version may be easier to follow.

What accessible format should I offer people?

As alternative formats can be so varied it is good practice to ask the person who wants the information in a different format what would be helpful to them. This doesn't mean you have to have a pile of different formats sitting in the corner of the room but simply need to know how to get your information into the required format in a timely fashion.

What is this website for?

The Alternative Formats website has been set up to provide a resource for people who are interested in providing accessible information. Within the site you will find common questions, explanations about different formats, practical solutions, and information to help you find out how to deliver accessible formats to your customers.
